Incumbent performs administrative duties assisting the Town Administrator and Select Board in the daily operation of the office, preparing reports and correspondence, attending Select Board meetings, preparing information for meetings, and taking and transcribing minutes of meetings, responding to inquiries, requests, or complaints from internal and external customers, maintaining confidential files and information.

Assists the Town Administrator and/or the Select Board with administrative functions; prepares correspondence and reports; schedules appointments and meetings; maintains and updates records and files.

Responsible for the posting of meetings, keeping the Select Board informed of all meetings, keeping the calendar updated, preparing and distributing the Select Board agenda, task list, and information packet, and providing follow up for meeting agenda items.

Attends all Select Board meetings for both open and closed sessions, takes and maintains official minutes of these meetings as required by law.

Schedules public hearings throughout the year for matters involving the Select Board and adheres to timetables for compliance with requirements of town bylaw and Massachusetts General Law.

Responsible for coordinating events on Town Hill, maintaining event spreadsheet, and providing follow up.

Assists with maintaining and updating confidential files for the office, litigation files, contracts, and other office files. Assists in the preparation of the Annual Town Report.

Supports the Human Resource Director with filing, annual acknowledgement forms, and other duties as needed.

Acts as the town’s Records Access Officer

A candidate for this position should have an associate’s degree in business sciences and five to seven years of experience in business administration, five of which in a municipal environment or equivalent education and experience. A candidate is also required to have a valid driver’s license, and Notary Public Certification is beneficial.
