Job Description

The city of Watertown is looking for an organized and detail-oriented Administrative Specialist to join its Planning and Zoning Office within the Department of Community Development & Planning.

Key responsibilities include: maintaining Zoning Board of Appeals records; receiving, reviewing, and ensuring the completion of applications and supporting materials, and collecting associated fees; drafting legal notices, agendas, and cable postings; corresponding with abutters and sending notices of decisions and certificates of grants to petitioners; tracking the permit process and providing information packets for ZBA meetings; attending ZBA meetings, taking minutes, and posting meeting information on the Division/Department’s website; ensuring compliance with Open Meeting Law regulations for ZBA meetings; and performing additional administrative tasks as needed to support the Zoning Division, Planning Board, and the department’s overall customer service needs.

MINIMUM QUALIFICATIONS: Associates degree or two years of technical or business school and one to three years’ work experience, preferably in a customer service-oriented role. Excellent customer service, multi-tasking, and organizational skills are essential. Proficiency with Microsoft Office and experience with database management software are highly preferred.

TERMS/HOURS: This is a 37.5 hour per week position. The work week is 37.5 hours (Monday, Wednesday and Thursday: 8:30 a.m. – 5 p.m.; Tuesdays: 8:30 a.m. – 7 p.m.; Fridays 8:30 a.m. to 12:30 p.m.). This position will require attendance at one to two evening meetings per month.

SALARY: This is a union position with a Grade 3-Step 1 rate of $57,513. Hiring above Step 1 is dependent on qualifications and experience.
